Bid Estimating Services for Contractors and Construction Projects

We provide bid estimating services for general contractors, trade subcontractors, owners and designers across all U.S. states. You send the invitation to bid, drawings and specifications; we return an Excel workbook and PDF summary with marked-up drawing pages, so every quantity and price in your bid package can be checked before the bid due date.

  • Quantity takeoffs tied to CSI MasterFormat divisions
  • Labor hours built from published wage data
  • Unit price and lump sum bid formats
  • Marked-up drawings show where each quantity came from

What do bid estimating services include?

Bid estimating services turn a solicitation into a priced, checkable bid: quantity takeoffs by CSI division, labor hours and crew rates with burden, material pricing, waste and contingency, general conditions and overhead and profit, delivered as an Excel workbook and PDF summary with marked-up drawings.

Our Professional Bid Estimating Services

We measure the drawings and produce a line-item cost sheet you can price, adjust and submit. Each number carries its unit, measurement rule and source, so you can defend it at bid leveling. The work is organized by CSI MasterFormat division, with Division 01 general conditions separated from trade work. Contractors who need this scope across several trades get one workbook rather than a stack of single-trade sheets; for a broader scope, see our construction estimating services. If you want to see how the line items are laid out before you send drawings, start from our free bid estimate template and compare it to the format you need.

Material quantities by division

We measure materials from the drawings and specifications by division, such as Division 03 concrete, Division 09 finishes and Division 26 electrical. Quantities are reported in the units your suppliers price: cubic yards for concrete, square feet for formwork contact area, tons for rebar and linear feet for conduit. Waste factors are shown as a separate line with the percentage stated, so you can see what is material and what is allowance. The output is a material takeoff you can send to suppliers for pricing.

Labor hours and crew rates

Labor is built from labor hours per unit multiplied by a crew rate that includes base wage and burden. We use trade-specific productivity assumptions and show the hours, the crew composition and the burden percentage on the sheet. Wage inputs come from published U.S. Bureau of Labor Statistics data and are adjusted by an estimator. For prevailing-wage work, we flag the projects where Davis-Bacon or state wage determinations apply.

Priced bid form with alternates

The final workbook combines material, labor, equipment, subcontractor quotes and general conditions into a bid form that matches the solicitation. We include alternates and unit prices where the bid documents require them, and we note any clarification requests before the bid due date. The PDF summary carries marked-up drawing pages so your reviewer can trace each line back to the plan. That traceability is what separates this service from a lump-sum figure with no backup.

What Is Included in Our Bid Estimates?

A construction bid estimate is only as good as the scope it captures. Our bid estimating services start with a full read of the bid package, including the bid form, specifications and addenda, and we list what is included and excluded on a scope sheet. Every line carries a unit, a measurement rule and a source, so the estimate can be reviewed line by line before submission. If the difference between a priced scope and a submitted number is unclear, our bid vs estimate comparison sets out where each document stops. To put the same scope in front of an estimator, request a quote and send the drawings with the bid due date. For a broader view of how a bid estimate differs from a budget, see our bid estimate definition.

Material quantity takeoffs for bids

The work items follow CSI MasterFormat divisions. Division 03 covers footings, slabs, walls and formwork; Division 04 masonry; Division 05 metals; Division 06 wood and plastics; Division 09 finishes. Mechanical, electrical and plumbing work is taken off under Divisions 22, 23 and 26. Each division is summarized separately so you can compare your bid to the scope sheet.

Cubic yards, square feet of contact area and rebar tonnage

Quantities are measured in the units the trade prices. Concrete is cubic yards; formwork is square feet of contact area; rebar is tons or linear feet by bar size; masonry is square feet of wall area; drywall is square feet of board. We state the measurement rule for each line, such as whether openings are deducted. Waste factors are applied as a separate visible percentage.

Materials, labor, equipment and cost breakdowns

Each line is broken into material, labor, equipment and subcontractor components. Labor is shown as hours and a crew rate with burden; equipment is shown as a rate and duration. Overhead and profit are added as separate lines, not buried in unit prices. The breakdown lets you test the estimate against your own crew rates and supplier quotes, which is the core of our bid estimating services.

Who Needs Our Bid Estimating Services?

Bid estimating for contractors is a deadline-driven task: the bid due date does not move, and the estimate has to be complete enough to submit. Our bid estimating services produce the takeoff and cost build-up so your estimator can focus on strategy, subcontractor quotes and bid leveling. The output is organized by CSI MasterFormat division, so each trade can review its own scope.

Specialty subcontractors

Specialty subcontractors, such as concrete, masonry, drywall and electrical, use our takeoffs to price their scope without measuring every drawing. We provide quantities in the units your suppliers and crews use, so you can apply your own crew rate and burden. This is useful when you are bidding several projects with the same bid due date, and it keeps each subcontractor bid estimating effort on the scope sheet rather than the scale.

General contractors and home builders

General contractors use the estimate to assemble the bid form, check subcontractor quotes and identify gaps between divisions. We separate Division 01 general conditions from trade work, so you can see supervision, temporary facilities and cleanup as distinct costs. For residential work, the same breakdown applies to home builders pricing a custom or production plan.

Developers, architects and suppliers

Developers and architects use bid-ready estimates to test a design against a budget before bid opening. Suppliers use the material takeoff to prepare quotes with the right quantities and waste factors. Each group gets the same traceable line items, with the measurement rule stated, which is what makes our bid estimating services usable by all three at once.

Types of Bid Projects We Estimate

The scope changes by project type, and so does the estimate. A detailed construction estimate bid for a residential project may run a few pages; an industrial bid package can run hundreds of lines across every division. Our bid estimating services adjust the measurement rules, the waste factors and the contingency to match the project type and the AACE estimate class. Each line carries its unit, its measurement rule and the arithmetic, so a reviewer can trace any total back to the drawing sheet it came from.

Residential projects

Residential work is measured room by room and assembly by assembly. We take off framing, insulation, drywall, finishes and mechanical rough-in, and we show waste factors for lumber and finishes. For a repeatable format, see our construction estimate template.

Commercial buildings

Commercial buildings require a full division-by-division takeoff, including Division 01 general conditions, Division 26 electrical and Division 21 fire suppression. We read the specifications for submittals, testing and commissioning, and we carry those costs as line items. See our commercial construction estimate for the typical scope.

Industrial and infrastructure projects

Industrial and infrastructure work adds process piping, structural steel, site work and heavy equipment. Quantities are larger and the measurement rules are stricter, so we state the assumptions and the contingency separately. The bid form may require unit prices for estimated quantities, and we provide those lines. On these packages our bid estimating services also separate lump sum scope from alternates, so the base bid and each add alternate can be priced and leveled on their own.

Our Bid Estimating Process

Bid estimating runs in a fixed order because each step feeds the next. We start when you send the invitation to bid, the full specification set and every addendum issued so far, and we log the bid due date and the plan holder named on the solicitation. If a drawing revision arrives mid-takeoff, we re-issue the affected pages rather than patching quantities by hand.

The goal of each step is a set of bid ready construction estimates you can defend line by line at bid opening. Every quantity carries its unit and measurement rule, and every rate carries its source, so a reviewer can trace a number from the bid form back to the sheet it came from. Our walkthrough of how to bid construction jobs covers the same sequence from the contractor's side of the desk.

  1. Submit drawings and specifications

Send the complete solicitation package: architectural and engineering drawings, Division 00 and Division 01 documents, the bid form, alternates list, and any addenda. Note which trades you are pricing and whether the bid is lump sum or unit price. Missing pages are the most common cause of a gap in the finished estimate, so we list what we received and flag anything referenced but not attached.

  2. Plan review and digital takeoff

An estimator reads the drawings trade by trade, marks the scope sheet against CSI MasterFormat divisions, and performs an on-screen takeoff. Concrete, masonry, metals, wood, thermal and moisture, openings, finishes, specialties, mechanical, electrical and plumbing each get their own quantity set. Waste factor is applied per material at typical rates and stated on the sheet, not buried in the unit cost.

  3. Cost calculation, quality checks and delivery

Quantities are priced with labor hours, crew rate and burden, then checked against a second estimator's read of the same sheets. We test the total against a rough order-of-magnitude benchmark for the building type and note the AACE estimate class the package supports. The workbook, PDF summary and marked-up drawings go out together; assumptions and exclusions sit on the first tab so nothing is quoted from a footnote.

Sample Bid Estimate and Deliverables

The example below is illustrative, not a quote. It prices a single-story tenant fit-out of 4,000 square feet with a lump sum bid form, using round numbers so the arithmetic is easy to follow. Rates are placeholders; your bid uses the pricing method described further down the page.

Assume 4,000 sf of 5/8-inch gypsum board partition at 9 feet high, giving 1,200 linear feet of wall and 10,800 sf of board face before waste. A 10 percent waste factor on board brings the order quantity to 11,880 sf. Framing at 16 inches on center yields 900 studs plus track, and the drywall line below shows how quantity, unit and rate combine into an extended cost.

  • Excel quantity takeoff sheet

One tab per division, with columns for location, description, quantity, unit, measurement rule and drawing reference. Formulas stay live so a changed quantity flows to the extended cost and the bid summary. The sheet is the audit trail behind every figure on the bid form.

  • Marked-up drawings

Color-coded PDF pages showing what was measured and where. Wall lengths, room areas and fixture counts carry a tag that matches the takeoff row. Reviewers can spot a missed room or a double-counted wall in minutes rather than re-measuring the set.

  • Itemized cost estimate

Labor, material, equipment and subcontractor pricing separated, with general conditions, overhead and profit and contingency shown as their own lines. Alternates are priced as additive or deductive items so the bid can be adjusted at bid opening without rework. Addenda received after issue are logged on a revision tab.

Software and Pricing Data We Use

A bid is only as good as the rates behind it. We pair digital takeoff with published federal data and an estimator's review, so subcontractor bid estimating rests on current wages and material movement rather than last year's numbers. The chart below tracks the Producer Price Index for the materials in this scope, rebased to 100.

Takeoff and estimating software

We work in three tool categories: PDF and on-screen takeoff for measuring, spreadsheet estimating for assembly of quantities and costs, and subscription cost databases for reference pricing. Output is an Excel workbook and a PDF summary, so your team can open the file in software you already run. Nothing in the deliverable requires a license we control.

Regional material and labor pricing method

National average unit costs are adjusted with BLS wage data and Producer Price Index movement for the relevant material, then reviewed by an estimator against the local market. The wage table below shows the trades we price most often; prevailing wage projects under Davis-Bacon use the applicable wage determination instead. We adjust for location, project size, shift work and access, and for alternates that change scope.

Why Contractors Choose Our Estimating Services

The reasons are procedural. A bid you can defend is one where every line traces to a drawing, a unit and a rate, and where the assumptions are written down before the bid due date rather than argued after award.

Trade-specific expertise

Divisions are priced by estimators who work them regularly: Division 03 concrete, Division 09 finishes, Division 26 electrical and the rest. That matters for unit price work, where a wrong conduit count or an omitted rebar lap compounds across thousands of units. We also support bid leveling estimate support, comparing subcontractor quotes line by line against our own takeoff, and the same line-by-line structure carries into any bid estimating software your team imports the workbook into.

Quality control and clear assumptions

Each estimate gets a second read, a benchmark check and a written assumptions page covering exclusions, general conditions, permits and testing. Clarification requests go back to you in writing so you can raise them with the owner before the request for proposal deadline. Nothing is left to a verbal understanding.

Turnaround, communication and revisions

Delivery dates are agreed when we review the plans and the bid due date, and confirmed in writing with the scope. Revisions from addenda or your own scope changes are handled against that same schedule, with a revision log showing what changed and how the total moved. A single named estimator answers questions through bid opening.

Bid Estimating Services Pricing

The fee is quoted per project after we review the plans and specifications, so there is no published rate card for our bid estimating services. We price the work from what the documents demand: sheet count, number of CSI MasterFormat divisions touched, alternates, addenda and the number of subcontractor packages you intend to carry in the bid. A single-division Division 09 package with one addendum is a different job from a full-building estimate spanning Divisions 03 through 26 with three alternates and a unit price bid estimate schedule.

Use the calculator below to test your own budget assumptions before you send drawings. It takes building area, your base hard cost per sq ft, soft-cost percentage, contingency percentage and escalation percentage, and returns hard cost, soft costs, contingency, escalation, budget total and all-in cost per sq ft. It carries no prices of its own and no building-type picker, so the hard cost input is your number, not ours.

How quotes are calculated

We count the drawing sheets and spec sections, list the divisions to be priced, and note every alternate and addendum that changes scope. From that we estimate the takeoff hours and the review hours, then set a fixed fee for the package. Where the solicitation requires a bid bond or a performance bond, we flag the bond amount on the bid form so it lands in the right line rather than buried in general conditions. If your bid due date moves, tell us before the takeoff starts; a re-issued set is priced as a new review, not a revision.

What affects price and delivery time

Scope clarity is the largest driver. A scope sheet that names inclusions and exclusions per trade saves reconciliation hours; a set with conflicting dimensions or missing Division 00 instructions adds them back. Alternates, allowances and a prevailing wage requirement each add work, because labor rates and burden have to be carried separately from the private-work basis. We do not state a delivery time until we have seen the plans, and we confirm it in writing with the quote. For packages that also need a cost plan at an earlier stage, see our construction cost estimating services.

Bid Estimating Services Across the US

Wage levels set the labor half of every line, and they move by region and by trade. We build labor hours from the crew and production rate, then apply the published wage data in the wage table below with the burden rate your project carries. On public work, Davis-Bacon or a state prevailing wage schedule replaces the open-market rate, and that difference can decide whether a subcontractor quote is competitive.

Material delivery and climate change the rest. A ready-mix or steel package priced into a remote site carries freight that a metro bid does not, and cold-weather or coastal exposure adds to the assemblies you must price rather than to the unit rate itself. Code editions differ by jurisdiction as well, so a Division 00 instruction set may reference a local amendment that changes the scope of Division 26 work. We serve all states from one team and confirm the applicable code edition with the authority having jurisdiction before the estimate is finalized. Each quantity takeoff for bid estimates is built the same way regardless of location, which keeps the comparison between regions honest.

Frequently Asked Questions

How long does a bid takeoff take?

The takeoff runs from the bid due date backward, not from the day you send plans. Scope count drives it: a Division 09 drywall and ceiling package on one floor reads differently than a full Division 03 and Division 26 package across five. We confirm the delivery date with your quote after reviewing the drawings and the bid form.

Do you estimate labor and material costs?

Yes. Every bid estimate carries material quantities at unit prices and labor hours at crew rates with burden, then waste factor, general conditions, overhead and profit. Each line shows the unit, the measurement rule, and the arithmetic. Wage and price inputs come from published U.S. Bureau of Labor Statistics data and are reviewed by an estimator before the sheet is released.

Can you use my estimate template?

Send the template with the plans and we confirm whether the estimate can be delivered in it. We match your Division 01 structure, bid form line order and unit price columns where the format allows. If your template forces a summary-only output, we say so before plan review rather than after.

Do you sign NDAs?

Clients can request an NDA before sending drawings, and the terms are agreed before plan review begins. Send the draft with your solicitation documents so the agreement is executed before any files change hands. We do not describe a standard NDA policy beyond what is agreed in writing for that project.

What is included in a construction bid estimate?

A quantity takeoff organized by CSI MasterFormat division, material and labor pricing, waste factors, general conditions, overhead and profit, alternates priced separately, and a PDF summary with marked-up drawing pages. The Excel workbook keeps every formula visible so a reviewer can trace any total back to a measurement on the sheet.

How can estimating improve construction bid accuracy?

Accuracy comes from removing the two failure modes that cost bids: missed scope and unpriced alternates. A line-by-line takeoff against the bid form, with addenda logged and alternates carried as separate line items, closes both. Bid leveling support then lets you compare subcontractor quotes on the same scope sheet instead of on four different formats.

What documents are needed for an accurate construction bid?

Send the full solicitation: invitation to bid or request for proposal, drawings by sheet number, specifications, bid form, addenda, alternates schedule, and any scope sheets or subcontractor quotes you already hold. Wage determinations matter on public work, so include the prevailing wage or Davis-Bacon schedule when it applies. Missing addenda are the most common cause of a re-priced bid.

When should contractors outsource bid estimating?

When the bid due date lands inside a week you are already building, or when the package spans divisions your estimator does not cover weekly. General contractor bid estimates usually need Division 03, 09 and 26 priced at once; a specialty sub may need only its own scope. Outsourcing makes sense when the takeoff volume exceeds the hours your team can protect.

How much do bid estimating services cost?

The fee is quoted per project after we review the plans. It depends on sheet count, number of divisions, whether alternates and unit prices are required, and whether you need bid leveling support on subcontractor quotes. Send the solicitation and we return a scope-based quote before any takeoff work starts.

What is the difference between a construction bid and a proposal?

A bid is a priced offer against a defined solicitation, usually on the owner's bid form, and it is binding for the period stated. A proposal can carry qualifications, clarifications and alternate approaches. Contractors bidding public work often submit both: the bid form at bid opening plus a proposal letter covering clarification requests.

Do you support bid leveling and scope comparison?

Yes. Send the subcontractor quotes and we normalize them onto one scope sheet by division and line item, flagging exclusions, missing unit prices and quote gaps. That comparison sits beside the estimate so you can see which number is low because of scope and which is low because of a real price.

Can you price unit price bid schedules?

Yes. Unit price bid estimate work uses the pay item quantities from the schedule, priced at the unit stated, with lump sum items carried separately. Each extension is shown so a reviewer can check quantity times rate without rebuilding the sheet.

How do you handle addenda issued close to the bid due date?

Every addendum is logged against the sheet numbers and specification sections it changes, and affected takeoff lines are revised and dated. The revised lines appear in the workbook with the addendum number so the bid opening package matches the latest issued documents.

Do you work from a plan holder list or partial drawing sets?

We can start from a partial set when the missing sheets are identified, and we mark those divisions as incomplete rather than pricing them at zero. A plan holder list helps confirm which addenda you received. Final pricing waits for the complete set so no division is carried as an assumption.

Send the solicitation for a scoped quote

Send the drawings, specifications, bid form and any addenda, and we review the package and confirm the fee and delivery date in writing. The estimate then arrives as an Excel workbook and PDF summary with marked-up drawing pages, every number traceable to its unit, rule and source.
